Why do we collect your personal information

We collect personal data from and about you when you agree to the terms of hire by signing and returning our booking forms.  This data is stored securely for contractual and information purposes only, including financial data relating to your payment of deposits or other invoices.

What personal information do we collect?

  • Name
  • Contact details
  • Payment details
  • Details of third parties, for example caterer, for which we assume you have their permission to share their details.

When you enter into the contract, you can opt to consent to us processing your personal information for other specified purposes such as:

  • Customer Satisfaction Survey regarding the development of the service and the services provided.
  • What other venues are available via room bookings.

Where you agree to be contacted, the data will be kept until it is either overwritten or until you no longer agree to be kept informed.  If you chose not to consent to additional processing, this will not affect your rights.  Details of all your other rights can be found here.

What is the legal basis for processing your personal information?

The legal basis for processing is for the performance of a contract to which you are party or in order to take steps at your request, prior to entering into a contract.

Who do we share this information with?

Within the Council:

Information may be shared with other Council departments for the purposes of fulfilling the contract and taking payment.

How long do we keep your information?

Information will be deleted 12 months following the end of the contract.  Transactional data such as payments will be kept for 6 years plus current year under the Limitations Act 1980.
