Property Management

Redditch Borough Council collects personal information about you in their capacity as Landlord, in order to deliver Landlord services in respect of repairs and maintenance.   The legal bases for this processing is the fulfilment of a contract; by signing up to a tenancy you are entering into a contract, and we require the personal data requested to fulfil this contract in terms of managing and maintaining the property of which you are a tenant; the authority also has a legal obligation to make sure the property is safe and we collect your data for this purpose under legal obligation, in accordance with the legislation listed below.

The data collected is:

  • Name
  • Contact details

This information will be accessible by the Repairs & Maintenance Team, Capital, Voids Team, Gas Safety Team, Electrical Safety Team and shared with Contractors / Tradesman / Inspectors, Suppliers of fixtures and fittings, Gas Safe Register, Community Safety where appropriate under the Sanctuary Scheme our Energy Advice Service (Act on Energy),the Midlands Net Zero Hub and the Department of Business, Energy and Industrial Strategy for grant funding energy efficiency improvements, other UK Government departments and agencies for commissioning of services.  If you contact the Council ‘Out of Hours’, your call will be managed by the Monitoring Centre.

When you enter into a contract, you can opt to consent to us processing your personal information for other specified purposes such as:

Customer Satisfaction Survey regarding the development of the service and the services provided.

 Where you agree to be contacted, the data will be kept until it is either overwritten or until you no longer agree to be kept informed.  If you chose not to consent to additional processing, this will not affect your rights.  Details of all your other rights can be found here.

Gas Safety Certificates relating to the property which include your name and contact details will be kept for 2 years.  Records relating to the maintenance of the property will be kept for the life of the property.  Daily job tickets relating to the maintenance of the property are securely destroyed once the job is complete. 

This information will not be shared/sold to any other service/organisation unless we have a duty to do so under law. This data will not be transferred outside of the EEA.
